User Access Roles Defined

Adding users to your iPayroll Organisation

Adding users to your payroll is easy, but please remember that your information is extremely confidential.
All users with Paymaster access are required to have 2FA. 
Contact our helpdesk for assistance if required.

Main User 

  1. The main user is the first 5 digit Username automatically created when you sign up to iPayroll.
  2. This Username can never be deleted or changed.
  3. The only User that has the ability to add and delete users to your iPayroll Organisation.

Kiosk User 

  1. Employee's have user access to their payslip information. They have no access to payroll information

Add a User 

If you would like to limit user access to certain people in your payroll, you will need to set up user defined Groups first.
  1. Setup > Users
  2. Add
  3. Username > Enter ORG number and the initials of the User
  4. Enter > First Name
  5. Enter > Last Name
  6. Enter > Email Address (this is where any emails will go to for this user i.e. if they reset their password.
  7. Select > their access to iPayroll
  8. Save 

Access Roles 

  1. Paymaster - Full access to those assigned to the Groups you assign the user access to.
  2. Enquiry Only - View only access to the Groups you give the user access to.
  3. Leave Approvals Only - Leave approver only users have access to those assigned to their Groups. This access allows them to add/approve/decline leave requests and view leave balances and a leave calendar. This access does not allow the user to view the employee details or pay details. 
  4. Leave Approvals and Full Enquiry - Full access to those assigned to their Groups. This access allows the user to add/approve/decline leave requests, and view employee details and pay details. 
  5. Leave Approvals and Data Entry (No Salaries)
  6. Enquiry Only (No Salaries) - View only access to the Groups you give the user access to.
  7. Data Entry (No Salaries)
  8. Pay Enquiry
  9. Pay Enquiry (No Salaries) 
  10. Timelog Approvals 
  11. Timelog Approvals and Full Enquiry
  12. Timelog Approvals and Leave Approvals
  13. Timelog Approvals, Leave Approvals and Full Enquiry 
  14. API User

Groups

  1. Setup > Groups > Enable
  2. Add
  3. Value > Enter a Short  or abbreviated name for the Group
  4. Description > Name of the Group

The iPayroll Training Centre sample company has the following Groups set up to define user access. These Groups are used in the Access examples:
  • AK-M (Auckland - Management)
  • AK-S (Auckland - Staff)  
  • CH-M (Christchurch - Management)
  • CH-S (Christchurch - Staff)
  • HO (Head Office)
  • WN-M (Wellington - Management)
  • WN-S (Wellington - Staff)
