PHW - Public Holiday (Worked) - Upload to Timesheet

iPayroll has a public holiday calendar in the system and each time you open a pay, if a holiday falls within the pay period; you will see a notification on each timesheet. If you have a large number of employees that worked on the Public Holiday, you can add Public Holiday Worked to the timesheet by creating an upload file. You upload to an open pay and the employees must have a timesheet in the pay.
If they worked more than one Public Holiday enter it as two separate transaction entries as the dates are shown in the Leave History.
The credit for the Alternative Holiday will show on their payslip. If you want to show it as a balance on future payslips and in their kiosk, check Setup > Organisation > Defaults > Payslip > Display on Payslips > tick Alternative Holiday > Save 
Remember to delete the sample information. Check any entries you have copied.  Remove any formulas before you upload. Test your data before uploading it. Uploading the file twice will ADD data not REPLACE it.

PHW - Public Holiday (Worked) - Upload for Multiple employees 

  1. If you only have a small number of entries, you can enter them into the Timesheet OR
  2. After you have Opened a Payroll
  3. To Download the template -  Payroll Enter Enter Timesheets 
  4. Select > Upload from the menu 
  5. Select > Download Timesheet Spreadsheet - the file should appear at the bottom of your screen
  6. Select the file > timesheet ... xlsx to open the spreadsheet (you may need to Enable Editing)
  7. This is a list of all employees and their IDs, the first employee has example data which you will delete. To populate the Public Holiday Worked complete these fields:
  8. You may need 2 rows per employee, one for PHW and one to credit the Alternative Holiday (if this is an otherwise working day for them)
  9. First row  other > PHW
  10. quantity > number of hours they worked 
  11. Second row other > ALT-CR
  12. quantity > number of hours they worked 
  13. leave days > number of days you are crediting them
  14. from > date of the holiday
  15. to >  date of the holiday
  16. reason > i.e. Waitangi Day or as you want it to appear on the payslip
  17. Empty fields can be deleted if you want
  18. Save the file  - in excel File > Save as to an appropriate place
  19. To upload the file -  Payroll Enter > Upload
  20. Select > Choose File > select the file from where you have saved it
  21. Select > Upload File
  22. Correct any errors. If you upload the file again it will ADD entries not REPLACE. Ordinary Time will be reduced if standard timesheet template hours are in the pay.
  23. Review > Timesheet Entries for each employee

Download the Timesheet Spreadsheet


Delete the sample information and save the file
