Pay Rates - Edit An Existing Employee

Increase an Employee's Pay Rate

You may need to edit an employee's pay rate due to a change to their employment conditions, employment agreement or due to a legislative change i.e. The Minimum Wage has increased
By changing the information on their Personal Details it will apply the new rate to the next pay period in full.
If the change is to take effect from a particular date, i.e. 01 April, you may need to apply the rate to only part of the pay period. You can split the hours in the timesheet of an Open pay.
Refer to Reports > HR > Staff-Pay rates or use People > Tools > Upload Pay Rates.

If the pay is Open you will not have to change the timesheet entry as it will be updated when you save the Personal Details.

Whole Pay Period

  1. In the Payday that you have been instructed to change the rate.
  2. People > View People
  3. Select the Employee's name.
  4. In the Personal Details > Pay Rate
  5. Amend rate (per hour or per annum)
  6. Save
  7. All Hourly, Pay Element or Leave entries for this employee will be paid at the new rate
  8. Update Diary Note with new pay rate and date effective from



Change applied part way through your pay period and the Personal Details has been updated.

  1. In the OPEN Pay 
  2. If you have already made the change to the rate in the Personal Details. 
  3. Calculate the number of hours worked prior to the new pay rate enter this in the Green Qty box.
  4. Add
  5. Select Override > enter the Rate > Notes > add if required 
  6. Save
  7. Edit hours as required between the 2 pay rates


 

Change applied part way through your pay period and the Personal Details has been NOT been updated.

  1. In the OPEN pay
  2. You have NOT made the change to the rate in the Personal Details. 
  3. Calculate the number of hours worked after the new pay rate enter this in the Green Qty box.
  4. Add
  5. Select Override > enter the Rate > Notes > add if required 
  6. Save
  7. Update Personal Details with New Rate
  8. Save
  9. Any hours or pay elements (i.e. Public Holiday) not using an override will now be shown at the new rate.
  10. Check for any leave being used in the payroll and that it is being calculated at the appropriate hourly rate and override if required.
  11. Update Diary Note with new pay rate and date effective from

Add a Diary Note

  1. People > View People
  2. Select the Employee's name.
  3. Diary Notes
  4. Add
  5. Enter the details of the pay rate change
  6. Save Note
