KiwiSaver Statuses in iPayroll
What KiwiSaver status should I select for my employee?
To accurately report your employees' KiwiSaver information to Inland Revenue (IR) as part of payday filing, it is important that you select the correct KiwiSaver status for your employee in iPayroll.
This article has been broken into key sections in order to assist you with selecting the appropriate KiwiSaver status
Before selecting a KiwiSaver status, make sure your employee either has a date of birth, or you have selected the appropriate age range of your employee in the KiwiSaver section of the Personal Details.
If you do not know the age of your employee, select the 18 - 64 age range.
Aged 18 to 64 or the Age of My Employee is Unknown
New KiwiSaver Member if
- your new employee is not already a member of KiwiSaver, or
- your existing employee, who was not previously a member of KiwiSaver, wants to enrol in KiwiSaver
Pre-Existing KiwiSaver Member if
- your new employee is already a member of KiwiSaver, or
- your employee's savings suspension has ended
Not Eligible for KiwiSaver if
- your new employee is not eligible to become a member of KiwiSaver
- Opted Out of KiwiSaver your employee has been auto-enrolled into KiwiSaver and has chosen to opt out
Savings Suspension - IRD Approved if
- your employee is on an approved savings suspension
Savings Suspension - IRD Approved with Employer Contribution if
- your employee is on an approved savings suspension, and you will continue to pay the employer contribution while the employee is on their savings suspension
Casual / Temporary Employee
The 'Casual / temporary employee is exempt from auto-enrolling' checkbox in the KiwiSaver section of the Personal Details must be selected for the casual / temporary KiwiSaver statuses to appear.
Casual / temporary employee KiwiSaver statuses only apply to employees aged between 18 to 64 that meet the 'exempt from auto-enrolling' criteria as required by the IR.
For casual / temporary employees aged under 18, or over 64, the statuses based on their age apply instead.
Casual / Temp First 28 Days if
- your new casual / temporary employee is employed for 28 continuous days or less, and is exempt from auto-enrolling.
- Use 'Not Eligible for KiwiSaver' if your casual / temp is not eligible to become a member of KiwiSaver, instead of 'Casual / Temp First 28 Days'.
Casual / Temp Over 28 Days if
-
your casual / temporary employee, who was exempt from auto-enrolling, has their employment extended beyond 28 continuous days. You will need to determine when your casual / temporary employee's employment extends beyond 28 continuous days, and manually change their KiwiSaver status from 'Casual / Temp First 28 Days' to 'Casual / Temp Over 28 Days' at that time. iPayroll cannot determine when your employee has worked over 28 continuous days.
If your casual / temporary employee is not already a member of KiwiSaver, selecting this status will auto-enrol your casual / temporary employee into KiwiSaver.
New KiwiSaver Member if
- your casual / temporary employee, who is exempt from auto-enrolling, is not already a member of KiwiSaver, but wants to enrol in KiwiSaver from the first day of their employment.
Pre-Existing KiwiSaver Member if
- your casual / temporary employee, who is exempt from auto-enrolling, is already a member of KiwiSaver, but wants to contribute to KiwiSaver from their first day of their employment, or
- your casual / temporary employee's savings suspension has ended
Not Eligible for KiwiSaver if
- your new casual / temporary employee is not eligible to become a member of KiwiSaver
Opted Out of KiwiSaver if
- your casual / temporary employee has been auto-enrolled into KiwiSaver (after 28 days of continuous employment) and has chosen to opt out
Savings Suspension - IRD Approved if
- your employee is on an approved savings suspension
Savings Suspension - IRD Approved with Employer Contribution if
- your employee is on an approved savings suspension, and you will continue to pay the employer contribution while the employee is on the savings suspension
Aged Under 18
The IR require all new employees under the age of 18 to be reported as 'Not eligible for KiwiSaver', including if the employee is an existing KiwiSaver member
.
The Date of Birth must be entered onto the Personal Details page.
Not Eligible for KiwiSaver
- if your new employee is under the age of 18
- is under the age of 18, and is an existing KiwiSaver member, you can add both a KiwiSaver Employee Rate and an Employer Contribution Rate in iPayroll, even though your employee's KiwiSaver status displays as 'Not Eligible for KiwiSaver'.
Opted Out of KiwiSaver
- if an employee is under the age of 18 and was incorrectly auto-enrolled into KiwiSaver
Aged 65 Plus
The IR does not require employees who are 65 plus to 'opt out' of KiwiSaver. If an employee, who is 65 plus, was incorrectly opted into KiwiSaver, changing their status to 'Not Eligible for KiwiSaver' is the same as opting them out.
The Date of Birth must be entered onto the Personal Details page.
Not Eligible for KiwiSaver if
- your new employee is 65 plus, and does not want to contribute to KiwiSaver, or
- your existing employee has turned 65, and no longer wants to contribute to KiwiSaver, or
- your existing employee, who is 65 plus, wants to take a break from paying into KiwiSaver, this is the equivalent to being on a Savings Suspension
New KiwiSaver Member if
- your new employee is 65 plus, has not previously been a member of KiwiSaver, and wants to enrol into KiwiSaver
Pre-Existing KiwiSaver Member
- your new employee is 65 plus, and wants to continue contributing to KiwiSaver, or
- your employee, who is 65 plus, had taken a break from paying into KiwiSaver and wants to begin contributing again
