Benefits of Custom Fields

Create and Customise your own reports

The power of Custom Fields is that you can define exactly what information is recorded on each person's Personal Files. Only Custom Fields that you have previously set up under the 'Setup' menu can be used. This information is then an ideal basis for reporting, as the details on your staff's personal files are consistent.

7 Examples of reporting you can set up:

1. Add a Contact/Emergency Next of Kin to staff

To record Emergency Contact Details against your people:-

1. Add a new “Custom Field” Category of Contact.

Note: it is important that you enter the category name exactly as above.

2. Then add id's called for example = ID = NK - description = Next of Kin, and/or ID = DR - description = Doctor.

3. Now when adding that “Custom Field” to a person, you will be able to enter additional information - including contact's name, address and other contact details.

2. Add Positions to Staff

To record additional Position Details against your people:

1. Add a new “Custom Field” for each position, with a Category of Position

Note: It is important that you enter the category name exactly as above.

2. Add ids and descriptions for each Position. These are decided by you.

3. Now, when adding a Position to a person, you will be able to enter additional information - the position FTE (Full-Time Equivalent), Hay Profile and Hay Points .

3. Remuneration

To record remuneration review details against your people:-

1. Add a new “Custom Field” called Remuneration. 

Note: It is important that you enter the category name exactly as above.

2. Add id's & descriptions for each remuneration benefit type that you wish to maintain.

3. After you add your ID's & Descriptions to "Custom Field" Remuneration, select the ID to set the type of Benefit, from a Dollar figure, a Percentage, Yes/No or a Comment.

4. Now, when adding that Remuneration “Custom Field” to a person, you will be able to enter the additional remuneration information.

4. Variable Pay Rates or Pay Scales

To calculate Pay Rates that vary from person to person iPayroll contains a powerful feature to let you define your own pay rate tables based on a “Custom Field”:

1. Add a new “Custom Field” and the various items that fall within it e.g Staff.

2. Assign the Custom Field" to each person under the "People" menu.

3. Add a new 'Pay Element' payment, and select the Calculation Rule "use a Rate based on a Custom Field”.

Each time a Training Referral Bonus is paid to those who have the Training Bonus "Custom Field" assigned to them, the system will pay the rate listed for the person in the Training Referral Bonus Pay Element. 

(Alternatively, use person's rate times Multiplier based on “Custom Field”).

5. Termination Reason reporting group

To record a Termination Reason when a person finishes:

1. Add a new “Custom Field” Termination Reason.

Note: It is important that you enter the category name exactly as above.

Now, when a person finishes, you will be able to optionally select a termination reason from the list.

2. You can add extra reasons if you need to.

6. Training

To record additional training due or achieved details against your people:-

1. Add a new “Custom Field” Training.

2. id and description are decided by you. e.g. Training achieved, Training to be done.

7. Staff Dietary requirements

To record dietary requirements against your people:-

1. Add a new “Custom Field” Dietary Requirements.

2. id and description are decided by you. e.g. VG = Vegetarian, ALN = Allergy to nuts etc...
